This Privacy Policy explains how JobsHives ("we", "us", "our") collects, uses and shares information about you when you use jobshives.com and our related services (the "Service"), whether you are looking for a job, offering referrals, or hiring. By using the Service, you agree to this policy.
1. Information We Collect
1.1 Information you give us
- Account: your name, email address and sign-in details. You can sign in with Google, GitHub, or an email and password; sign-in is handled by Google Firebase.
- Account type: whether you are looking for a job or hiring, which we ask once when you first sign in.
- How you heard about us: an optional answer, and any detail you choose to add.
- Job seeker profile: work experience, education, skills, languages you speak, location, desired role, salary expectation, notice period, preferred job type, bio, photo, and links such as LinkedIn or a portfolio.
- Resume: if you upload a resume, we store the file and read it to help fill in your profile.
- Visibility choices: whether employers can find your profile, and whether they may see your contact details and salary expectation.
- Job applications (Easy Apply): your name, email, phone number, LinkedIn profile, cover note, the languages you speak and, if attached, your resume.
- Referral marketplace: if you offer referrals, your company, role, fee, availability and contact details; if you request one, the details you send with it.
- Employers: company name, description, website, logo, contact details, the job listings you post, the names and emails of colleagues you add to your team, the status you give applicants, and messages you send them.
- Employer verification: the work email address we send a verification code to, or, for a manual review, your LinkedIn profile, job title and any note you add.
- Payments: payments are processed by Dodo Payments. We receive confirmation of the payment, the product, the amount and the email used. We never receive or store your card details.
- Support: messages you send through our support chat or by email. If you choose "Talk to a human" or "Request a feature", we also receive the email you provide.
- Job alerts: your email address, chosen category and how often you want alerts.
1.2 Information collected automatically
- Usage: pages you visit, jobs you open, save or apply to, and features you use. When an employer views your profile or opens your resume, we record which company did so.
- Activity: when you last signed in or used the Service.
- Where you came from: the site, link or campaign tag (for example a UTM code) that first brought you to JobsHives, and the page you landed on. This is kept in your browser until you sign up, and then saved with your account.
- Device and log data: IP address, browser and operating system. We use IP addresses to limit abuse (for example too many requests) and to keep the Service secure.
- Email engagement: whether our emails were delivered, opened or clicked, and any bounce or unsubscribe, as reported by our email provider.
- Analytics: we use Google Analytics 4 to understand how the Service is used. You can opt out with Google's browser add-on.
1.3 Cookies and browser storage
We use a session cookie to keep you signed in and to protect forms against misuse, and Google Analytics cookies. We also store a few small items in your browser: your sign-in state, your account type (so menus show the right links), where you first came from (see above), and your support chat conversation for the current visit. You can clear these in your browser settings; some features may then stop working until you sign in again.
2. How We Use Your Information
- To run the Service: create your account, show jobs, process applications, referrals and payments, and pay referrers their earnings.
- To match people and jobs: we automatically compare a candidate's skills, desired role, experience and location with a job to suggest good fits, order candidates, and recommend jobs. These suggestions help people decide; they never decide anything on their own, and employers make every hiring decision.
- To protect candidates: employers must verify that they work at the company they hire for before their jobs go live or they can search candidates. We may pause listings that look misleading or are not being reviewed.
- To send emails: account and transactional emails (sign-in, verification codes, application confirmations, payment receipts, team invitations); service emails (a daily summary of new applicants for employers, and a note to candidates when an employer views their profile); and, where you have not opted out, job alerts, recommended jobs, profile reminders and occasional updates. Every non-essential email has an unsubscribe link.
- To support you: our support chat answers common questions automatically from our help articles. Questions it cannot answer are saved so we can improve it, and anything you send to a person is emailed to our team.
- To improve the Service: understand which features and channels are useful, using usage data, analytics and where users came from.
- For safety and the law: prevent fraud, spam and abuse, and comply with legal obligations.
3. Who Can See Your Information
We do not sell your personal data, and we do not let employers export candidate data.
- Employers you apply to: when you apply with Easy Apply, the employer, and colleagues on that employer's team account, see your application, resume and the languages you speak. They may email you about it; such emails come "via JobsHives" and replies go straight to the employer.
- Verified employers searching candidates: if your profile is visible to employers, verified employers can find it and read it. Your contact details and resume are shown only to verified employers who have purchased a job package, and only if you allow it. You can switch this off at any time in your profile, and it takes effect immediately.
- Referral marketplace: when a job seeker unlocks a referrer, the referrer's contact details are shared with that job seeker, and the job seeker's details with the referrer.
- Service providers who process data for us: Google Firebase (sign-in and database), Hostinger (website hosting and file storage, including resumes), Brevo (email delivery), Dodo Payments (payments) and Google Analytics (analytics).
- Legal reasons: if required by law, court order or a government authority, or to protect the rights and safety of our users or the Service.
- Business transfer: if JobsHives is involved in a merger or sale, your information may be transferred under this policy.
4. How Long We Keep Information
We keep your information while your account is active. You can delete your account at any time from your profile settings. Deletion is permanent: it removes your account, your profile, your uploaded files and the applications you sent to employers. We keep a minimal record that a deletion happened (a one-way hash of your email, its domain, the dates and a count of what was removed) so we can show the request was completed; it cannot be used to restore your data. Payment records are kept for as long as tax and accounting laws require.
5. Your Rights and Choices
Depending on where you live, you may have the right to access, correct, delete or receive a copy of your personal data, and to object to or restrict certain uses. You can:
- edit your profile and visibility choices at any time;
- unsubscribe from non-essential emails with the link in each email;
- delete your account yourself from your profile settings;
- email ayush@jobshives.com for anything else, including a copy of your data.
6. Security
We protect your information with HTTPS encryption, access controls and verified sign-in. Resumes are not publicly accessible: each request to open one is checked against who is asking. Employers must verify their company before they can search candidates. No method of transmission or storage is completely secure, but we work to protect your data and to fix problems quickly.
7. Children
The Service is not intended for anyone under 16, and we do not knowingly collect their data. If you believe a child has given us personal data, contact us and we will delete it.
8. International Transfers
Our providers store and process data in several countries, including Google Firebase in Singapore and the providers listed in section 3. Your data may therefore be processed outside your country, with safeguards required by applicable law.
9. Links to Other Sites
Many jobs on JobsHives are listed by other job boards and employers, and applying may take you to their website. Links we send there may include a tag (for example utm_source=jobshives) so they know the visit came from us. Their own privacy policies apply on their sites.
10. Changes to This Policy
We may update this policy as the Service changes. We will change the "last updated" date above and, for significant changes, tell you by email or on the Service. Continuing to use the Service after a change means you accept the updated policy.
